Your Right to Data Deletion

At Volitex AI, we respect your right to control your personal data. You have the right to request the deletion of any personal information we have collected about you through our services, including data processed through our WhatsApp and Instagram automation systems.

How to Request Data Deletion

To request the deletion of your personal data, please send an email to:

Please include the following in your email:

  • Subject Line: "Data Deletion Request"
  • Full Name: The name associated with your data in our systems.
  • Email Address: The email address associated with your account or interactions.
  • Phone Number: If your data was collected through WhatsApp or phone-based interactions, include the phone number associated with those communications.
  • Description: A brief description of the data you would like deleted, or state "all personal data" for a complete deletion request.

What Data Can Be Deleted

Upon a verified deletion request, we can remove the following types of data from our active systems:

  • Personal contact information (name, email, phone number)
  • Business and professional details you provided
  • Message history and conversation data from WhatsApp and Instagram automation services
  • CRM records and lead qualification data
  • Booking and appointment records
  • Website usage and analytics data linked to your identity

Processing Timeline

We will process your data deletion request within 30 business days of receiving and verifying your identity. During this period, we will:

  1. Acknowledge receipt of your request within 3 business days.
  2. Verify your identity to prevent unauthorized deletion of data.
  3. Identify and locate all personal data associated with your request across our systems.
  4. Execute the deletion from our active databases and systems.
  5. Confirm completion of the deletion via email to the address you provided.

What Happens After Deletion

Once your data has been deleted from our active systems:

  • Your personal information will be permanently removed from our operational databases.
  • Any active automation workflows associated with your data will be deactivated.
  • Backup copies may persist for up to 90 days as part of our standard backup rotation cycle, after which they will also be purged.
  • You will receive a written confirmation once the deletion process is complete.

Confirmation Process

After your deletion request has been processed, you will receive a confirmation email detailing:

  • The categories of data that were deleted.
  • The date the deletion was completed.
  • Any data that was retained and the legal basis for its retention (if applicable).

Data Retained for Legal or Regulatory Requirements

In certain circumstances, we may be required to retain specific data even after a deletion request, including:

  • Financial Records: Transaction and invoicing records may be retained as required by tax and accounting regulations.
  • Legal Obligations: Data that is subject to a legal hold, active investigation, or regulatory requirement.
  • Contractual Obligations: Minimal data necessary to demonstrate compliance with service agreements during the applicable limitation period.

If any data must be retained, we will inform you of the specific categories and the legal basis for retention in our confirmation response.
